Managing ongoing applications on imported records

When you first join GovWell, there's a chance that, within the records that you imported from your previous environment, there will be some open applications.

GovWell provides your team with feature to manage imported permit and license applications that are still in process. In this article we're going to talk about imported records and how they work within our system.

Handling Imported Records

Imported records may need verification and adjustments to align with the current application workflow. When our Data team completes the process of importing the records from your previous provider to your GovWell environment, you should ensure the information in the application is accurate before continuing the work on it.

Every imported application in progress is set by default to the workflow step below:

During this step, you should:

  1. Confirm the accuracy of the migrated data by reviewing the details thoroughly.

  2. Use the Mark Review as Complete button to validate that the migrated data is correct.

  3. Select the appropriate workflow step by clicking on Skip to current workflow step. This action will place the application in the correct stage of the workflow.


In some cases, the imported record will not be linked to any of the existing record templates - this results in the 'Skip to current workflow step' having no workflow steps to choose. In order to link your application to an existing workflow, look for 'Record Type' within the 'Overview' section and click the pencil icon to select the correct record type.

A small pop up window will appear - in here, select the appropriate record type and confirm the change to add the new workflow steps to your imported record

The workflow steps of the record type you selected will now be available. You can start from the beginning or skip to the correct step using the 'Modify Workflow' button at the top right corner of the page!

And that's how you can manage your imported records!
