Plan Review is a critical multi-step process in the application that typically involves multiple team members, each responsible for reviewing specific parts of the plan and ensuring that the submitted plans comply with the jurisdiction’s codes and regulations.
In GovWell, plan reviews are organized by versions: the applicant submits a set of plans, staff reviews them, and either approves the plans or requests updates/revisions. Previously, when updates were needed, staff had to conduct a brand-new review of a new plan set. The new Revisions feature changes that!
🤩 Plan Revisions
The Plan Set Revisions feature lets you start ad hoc revisions on already-approved plan sets. Instead of creating a brand-new plan every time changes are needed, you can simply initiate a revision and complete the process within the same plan set.
In addition to allowing you to perform a revision at any point, the most important aspect of this feature is that it does not disrupt the current workflow. Revisions work in parallel with whichever step you’re on. For example, if a revision is needed while the workflow is already in the Inspections step, you don’t need to add a Plan Review step or postpone any tasks.
Let’s take the above case as an example: both reviews by James and Lucius were completed, but a revision is suddenly required due to a regulation change that now affects the plans.
In this situation, you can easily initiate a revision by clicking “Start Revision.”
The Create Revision window will appear and prompt you with two options:
Create Plan Revision – Upload the revised files directly to the plan set. Applicant input is not required; simply upload the files to the revision and route it for plan review.
Request Revision – Send a request to the applicant to upload a revised plan set. They’ll be notified and required to complete this task before the revision can be reviewed.
✏️ Create Plan Revision
When you select "Create Plan Revision" and upload the revised files, an additional task will appear under the current workflow steps prompting you to route for plan review, just like a regular plan review.
💡 Notice that the “Plan Set Revision” is located in the separate Additional Tasks section – you can continue working in the regular workflow while the revision progresses in parallel.
Any revised plan sets will be properly labeled:
Revision progress can be tracked from the "Additional Tasks" area, and show as a completed additional workflow step once it is done.
📎 Request Plan Revision
Requesting a plan revision works the same way as creating a revision, except the applicant must upload the revised plans to move the application forward. If needed, you can still take over manually and create the plan set revision yourself by clicking the “Create Plan Set Revision” option.
🔔 Applicant Revision Request
Applicants can also request a plan revision under the same circumstances reviewers can. When the most recent plan review is marked as complete, an option to start a revision will be available on the Files tab
The revision will appear under Additional Tasks alongside a comment left by the applicant explaining the reason why a request for revisions was submitted. You can then decide if the revision is necessary and route for plan review or reject/skip it.
