GovWell provides the ability to set up and run reports using a wide range of data.
To generate your own reports, navigate to the 'Reporting' feature on your dashboard, located on the left side:
In your Reporting view, you’ll see a list of existing report templates (if available), along with tabs for Automated Reports and Dashboards.

📝 Creating a Report Template
To create your own report, simply click the 'Create Report Template' button on the right side of your Reporting dashboard.
A 'Create Report Template' tab will open on the right side of your Reporting dashboard. This is where you'll configure the parameters that you want your report to use each time it runs. Let’s take a look at some of these configuration options below!
First, name your report and provide a brief description. Since report templates are visible to all admins in your organization, including a description is helpful to ensure everyone understands the report's purpose.
Under 'Report Configuration', you'll find a 'Report Type' dropdown menu:
This selection determines the key items your report will deliver. For example, if you select 'Records', you’ll receive a list of records (such as permits or licenses) issued within the selected date range and criteria. If you choose 'Inspections', you'll receive a list of inspections that were registered — whether requested, scheduled, logged, or all of them — based on the date range and criteria you select. The Report Type directly shapes the layout and content of your reports, so feel free to explore different options to see which one suits your needs!
When you select your Report Type, two additional dropdown options will appear:
Filtering Type: This determines how the results for each record are filtered. For example, with Inspections, you can choose whether the date range only includes scheduled, requested, or logged inspections, or all of them combined!
Report Display Type: This option determines how the results will be grouped. For example, in the case of Inspections, you can group the inspections by 1) Inspector - to see all inspections assigned to each inspector; 2) Inspection Type - to view inspections by type (e.g., Plumbing inspections within a certain date range); 3) Record Type - to see inspections grouped by the type of record (e.g., all inspections related to Residential Permit applications).
Once you've selected these types, you can further customize your report by configuring the filters under 'Report Filters'. Afterward, save your template by clicking 'Create Report Template'.
💡 Tip: If you want your report to include all results within a specific filter category, simply leave all the checkboxes unticked instead of selecting them all. For example, if you want your Inspections report to show all inspections, regardless of their status, just leave the result filters unchecked rather than selecting each one.
✏️ Editing a Report Template
Editing a report template is easy! Simply go to your Reporting view, click on the report name (in blue), or click the '🔽 More' dropdown button to select the option to edit your template.
The same report template editor that you used to create a new report will appear. Simply update the options you want to change and apply them! The template will be updated for all future report generations.
📈 Running a report
Once your report templates are set, it’s time to run them! To do so, simply click the '▶️ Run' button or the '▶️ Report' button, then select the template you’d like to run.
The Generate Report menu will appear on your screen, prompting you to define the criteria for the report.
There are a few things to configure here, so let’s take a closer look!
1. Date Range: Set the date range from which the report will gather data, including start and end dates with hours and minutes.
2. Report Type, Filtering Type, and Report Display Type:
Report Type: Determines the format of your report (e.g., Inspections Report). Each option is accompanied by a small description to help you choose the right one.
Filtering Type: Based on the Report Type you select, you need to choose the main criteria for filtering within the selected Date Range. For example, if you choose 'Records' as your Report Type, you can filter by Issued Date, Submitted Date, or Expiration Date.
Report Display Type: Defines how the information will be grouped in the report.
3. Included Documents: These are the documents that will be generated along with the report.
4. Module and Checkbox Options: Choose the module the report will pull data from.
From this point on, you can select more specific criteria to personalize your report, such as owners, status, results, and more.
You can leave the checkboxes blank if you want the report to include all information from a certain group. For instance, if you want the report to include records from all owners, simply leave the 'owners' box unticked.
🤖 Setting up an Automated Report
Another great feature of the Reporting tool is the ability to generate automated reports that are sent to you or your teammates at specified times. Setting up this automation is simple, so let's dive in!
To start creating your Automated Report, click the 'Create Automated Report' button:
There are just a few additional options to consider compared to creating a regular report template:
Report Recipients: This is where you specify who will receive the automated reports. You can select multiple users from your organization and even add external email addresses for recipients outside the organization. Those added will receive the reports directly via email.
Report Scheduling: Set how often you’d like the automated reports to be sent — Daily, Weekly, Biweekly, Monthly, Quarterly, or Yearly — starting from the date the first report is generated.
Report Template: Choose an existing report template to base your automated report on. The automated report will inherit all the settings from the selected template.
Alternatively, you can create a new report template from scratch by selecting the Report Type and customizing it just as you would in the Creating a Report Template section.
