๐ก How to know you have an inspection
Whenever an application moves to the Inspections workflow step, the applicant is notified via email and through the platform that they can request an inspection when ready. When an applicant requests an inspection, you will receive a notification via email.
Another way to track your inspections is by navigating to the Inspections page within the module you're working on. From there, you can use the available views to monitor inspection requests, scheduled and unscheduled inspections, and other related entries.
๐ Inspection options
In the Inspections view, youโll see a table displaying inspections that match the filters youโve selected. Along with the available information, a More dropdown button provides additional options to help you manage your inspections.
Schedule and Log Inspections
This option allows you to schedule or log an inspection directly from the table view. We'll cover inspections in more detail later in this guide, but it's worth noting that this functionality is also available here!
Reassign
Select an inspector to assign to the inspection. When you choose this option, a small window will appear prompting you to select an inspector. Click the dropdown menu, choose the appropriate inspector, and confirm your selection by clicking Reassign Inspection.
Edit Intake Form
Intake forms are jurisdiction specific forms that allow you to add notes and other information depending on how the form is configured. You can edit the intake form using this option.
Hide from Applicant & Show to Applicant
This option allows you to make the inspection visible or hidden to the applicant. Use this feature to control which inspections the applicant can view or request at any given time.
๐ How to schedule an Inspection
Within GovWell, applicants have two options for managing their inspections: they can either schedule an inspection themselves or submit a request for one (for more details check out our Help Center Article: Requesting vs Scheduling an inspection).
In most cases, jurisdictions prefer to allow applicants to request an inspection rather than schedule one directly, giving inspectors the final say on the date and time of the inspection. The option available to applicants depends on how GovWell is configured in your system.
This section applies to jurisdictions that allow applicants to submit inspection requests only.
How to access a requested Inspection
From the Inspections page in the module you're working on, look for the Inspection Requests tab. You'll see a list of inspections that were requested by applicants
Within the results, you can either click the More dropdown to reveal the option to schedule an inspection, or you can access the application directly by clicking the application number. This will take you to the Inspections tab of that record.
Scheduling the inspection
Next to the requested inspection, you'll find a More dropdown button - click on it and select Schedule to open the scheduling menu.
Select the inspector to assign to the task, choose the inspection date, and enter any notes visible to the applicant - such as the time of day the inspection will take place. Click Schedule to confirm the appointment!
๐ How to log an inspection
To log an inspection we are going to look for the More button next to the inspection we're working on and this time we'll select Log Inspection!
A Log Inspection window will pop up, where you can enter all the important details about your inspection.
Inspector: select which inspector completed the inspection. It auto-populates to the current inspector by default. This is particularly useful when you're logging the inspection on behalf of someone else
โStarted Inspection At and End Inspection At: log the dates and times at which the inspection started and ended. The start time is a required field and automatically detected as your current time by default. The end time is optional - if left blank, the system will use the time the inspection was logged as the end time.
Inspection Form: anything within this section will depend on the settings your jurisdiction has set. Depending on the Inspection Templates linked to each type, inspections will have different forms for different needs. Typically, most inspection forms have a field for comments, a field for a status result (Pass, Fail, etc) and an upload field to upload photos you took of the inspection.
You can also save the inspection as a draft at any time and return to complete it later!

Logging inspections using your mobile device such as a phone or a tablet should be an identical experience to the desktop version, with just a few small differences in navigation highlighted in our GovWell on Mobile Devices article!
๐ค What happens after you log an inspection
You can easily find the status and result of your inspections in the Inspections view, under each respective column:
You can check the results of your logged inspections by clicking the More dropdown menu on the right side of the table view and selecting View Results.
A window will appear displaying all the details of your logged inspection, along with a copy of the Inspection Report.

๐ From the Applicant's perspective
Applicants typically only have access to the Inspections tab when the application advances to the Inspections stage. Until then, the tab is typically hidden from their view.
When the application eventually advances to that stage, applicants should have a slightly different view compared to yours!
The key differences between the two views are:
๐ Applicants do not see the small 'Inspection Attempts' tab

๐ค Applicants cannot see who the inspectors for each inspection are
โ Applicants cannot add inspection groups or inspections
โ๏ธ They do not have access to the 'More' dropdown menu. Instead, they'll only have a 'Request' or a 'Schedule' button, depending on your module settings
Requesting inspections as an Applicant
In most cases, applicants are allowed to request inspections rather than schedule them directly. Requesting an inspection is pretty straightforward for applicants!
After clicking Request, applicants will be prompted to enter details about their request. Most of these details - aside from the requested date and additional notes - can be customized by your organization as part of the intake form.
Below is an example of an inspection request from the applicantโs perspective.
After you log your inspection, the applicant will be notified via email of the inspection results. Regardless of the outcome, they'll get an email!
Along with that, Applicants will always have easy access to their inspection results from the respective application page, by selecting More -> View Results
