How to respond to Plan Review comments and upload a new Plan Set

Written by Bruno de Oliveira

As an applicant, you can respond to comments made by reviewers on your permit or application by following these steps:

1) Log into your GovWell portal (https://app.govwell.com). This will take you to your 'Records' view, where you can see your application.

2) Click on the application to visit the application page, then select the 'Files' section.

3) In the 'Files' section, you will see a call to action prompting you to respond to the comments. Click the button in this box to access the comments.

If any reviewer conducted an offline review, you will instead be prompted to download their review file. Be sure to review the feedback in it thoroughly

4) Alternatively, you can click the 'View' button on the right side of the application page. This will allow you to view the plan files you uploaded, with the reviewers' comments displayed on the right side of the plan view.

5) You will see your plan viewer. The plan viewer provides an intuitive view of your plans in review and a progress tracker of the tasks assigned to you that need to be completed.

The Plan Viewer now displays a step-by-step progress bar that provides you with a clear, at-a-glance view of where you are in the review process and what still needs to be completed. Make sure to track this progress bar to know what needs to be done next!

To track and address all comments requiring your attention, look for the banner right below the progress tracker.

Click on the 'Go to next comment' banner link or the 'Respond to comment' in each comment you need to respond to in order to display the comment box, where you can enter your response.

Be sure to provide clear and concise responses to each comment, addressing the specific feedback provided by the reviewers.

6) Once you’ve responded to all the comments, the call to action box will enable the option to update your plan set. Click the '+Update plan set' button to create a new plan set and upload the revised files for the next round of reviews.

If the option to update your plan set does not appear, double-check that all reviewer comments have been addressed. Missing even one response can prevent the option to update your plan set from unlocking.

A window will prompt you to upload the required documents to update your plan set. The documents from your last reviewed set will be included by default, and you need to upload the revised files or remove those that are no longer needed in order to create the new set.

Ensure that all mandatory file requirements are met. Mandatory fields are typically marked with an asterisk (*). In case any of the mandatory fields asks for a file that doesn't apply to your case, you can upload a placeholder or blank file - and notify your jurisdiction that the files are not applicable - to proceed smoothly.

To manage files effectively, replace any outdated files from the previous set using the 'Replace' button. You only need to replace files that have changed. If no changes are needed in a specific file, you can leave it as is and it'll be included in the new plan version! This ensures that the new Plan Set contains only the updated, relevant documents.

After uploading the new files, click the 'Create Version #' button to create the new plan set.

And that's it! The new plan set will be sent to the reviewers for review!
