How to assign or switch applicants in an application

Learn how to switch the applicants in an ongoing application, or submit the application on their behalf!

GovWell provides jurisdiction staff with various features designed to give ample control of the entire application process. In this article we will be talking about the ability to switch applicants in an ongoing application or submitting a brand new application on their behalf.

✍️ Submitting an application on behalf of the applicant

In most cases, applicants tend to submit the applications for their permits, licenses and more, on their own (we have an applicant-focused article for this here) . However, depending on your configuration and needs, there may be some times where it is more convenient for you to submit the application on their behalf.

1. Assigning an existing GovWell user to an application

In order to assign an existing GovWell user to an application, look for the 'Applicant' field in the application form.

Be sure to check the 'Include users outside this organization' to broaden the search for users and write down their name, email or phone number (if it exists on their profile). If there any matches, they'll be displayed on a dropdown menu.

Select the user you want to assign and they will be set as the applicant user. If the user has any company profiles, they will be listed on the right side.

2. Inviting the applicant to GovWell

If the applicant does not have an existing GovWell account yet, they will not appear in the dropdown menu. To invite them as a new user, look for the 'Invite a user to GovWell' in the same application form page:


The email address is optional at this stage - you don't need to add it if the applicant does not need be notified of updates on the application

Once you complete all remaining details and submit the application, the applicant will receive an email notification about the creation of the new record:


🔄 Switching the main applicant in an application

If you need to switch the applicant after the application was submitted, that is also possible!

In the application page, look for the 'Switch applicant' button next to the applicant section. Clicking it will open the menu to switch the applicant.

If the applicant does not have a GovWell account yet, click the 'Invite a user to GovWell' to invite them to join the platform

This invite feature works the same way as the invite feature in the application form, with the only difference being that the email address is required.
