How do I modify a form in GovWell?

You can manage record forms by editing either the shared field group settings or the individual record type’s form settings. This article explains these two approaches to configuring fields, whether they need to be optional or required. In this case, let's use the Document Upload fields as an example!


πŸ€” How to Modify Document Upload Requirements

  1. Navigate to Settings β†’ Modules β†’ Building (or the relevant module you want to modify).

  2. Select the specific record type for which you want to adjust document upload requirements.

  3. Open the Form tab to access the application form template.

πŸ”§ Adjusting Settings for Shared Field Groups

If the document upload fields on your forms are part of a Shared Field Group, the required/optional setting is globally applied to all record types using that group.

You can manage these settings in two ways:

  • Global Change: Click 'Edit Shared Field Group' to update the field across all record types linked to the shared field group.

  • Local Override: If you want to adjust the setting for one specific record type without affecting others, you will need to disconnect the upload field(s) from the Shared Field Group. This can be done by selecting the 'Disconnect' option under 'More'. After disconnecting this record from the shared field group, update the fields within the Form tab.

Adjusting Settings Within the Record Form

To modify a record field directly within the form settings for the specific record type, simply access the 'Form' tab in the record templaye page and edit the fields you need to make changes on. In this example, with document uploads, you can set them as Optional or Required

Key Considerations

  • Changes to fields in a Shared Field Group will impact all record forms using that group, so use global changes with caution!

  • Unlinking a field from a shared group allows for local customization but requires managing the settings independently as the field cannot be linked again after unlinking

  • If you want any form changes to take effect in an already submitted record, be sure to click the 'Sync missing fields' button in the Form Submittal section under Details to make the application add any new or modified fields that were added or modified.
